Connect QuoteMate to Xero
Connect once and every invoice you send lands in Xero automatically as a draft — contacts, line items, and GST included. Your accounts stay in Xero; the quoting stays in your pocket.
Setup — about one minute
- 1
Open Settings
Log in at quotemate.nz and go to Settings from the sidebar (or the bottom tab bar on your phone).
- 2
Click "Connect Xero"
Scroll to the Xero card and tap Connect Xero. Xero sync is part of the Pro plan.
- 3
Sign in to Xero
You'll be sent to Xero's own login page. QuoteMate never sees your Xero password.
- 4
Allow access
Xero shows what QuoteMate can do: view and manage your contacts and invoices — nothing else. If you belong to more than one Xero organisation, pick the right one, then click Allow access.
- 5
You're connected
You land back on QuoteMate Settings showing "Connected to [your organisation]". That's it — about a minute, once.
What happens after you connect
| Invoice sent in QuoteMate | Draft sales invoice appears in Xero |
| Your customer | Matched by email in Xero contacts, or created if new |
| Line items, GST (15%), due date | Carried over exactly |
| Job title | Shows as the invoice's Reference in Xero |
| Approval | You (or your bookkeeper) approve the draft inside Xero as usual |
Good to know
- Invoices arrive as drafts, on purpose. Nothing touches your ledger until you approve it in Xero, so a wrong account code can never mess up your books.
- Sales account code. QuoteMate uses Xero's standard NZ sales account (200) by default. If your chart of accounts uses a different revenue code, change it in Settings → Xero — your bookkeeper will know.
- If a sync ever fails, the invoice still reaches your customer — you'll see a retry button on the invoice in QuoteMate.
- Disconnect anytime from Settings → Xero, or from Xero's own Connected Apps page. Reconnecting takes the same minute.
- You need your own Xero subscription (any plan) and QuoteMate Pro ($49/mo).
